Most Indian clinics, tuition centres, and home-service crews should stay on the free WhatsApp Business App until a second person needs the same inbox, broadcasts hit the App’s list limits, or they need Meta-approved message templates outside the customer’s 24-hour chat window. The WhatsApp Business Platform (Cloud API / “WhatsApp Business API”) is a paid layer you reach through a Meta-authorised Business Solution Provider (BSP) — for teams, automation, and template campaigns. It is not a green tick you buy.
That is the 2026 decision in one paragraph.

Meta’s developer docs are the rulebook: customer service windows, templates, pricing, and messaging limits. India BSP blogs translate those rules into SMB language; treat their ₹-per-message tables as snapshots, not invoices.
The 24-hour window and message templates (plain English)
When a customer messages (or calls) your business number on WhatsApp, Meta can open a customer service window — a 24-hour timer. On the Platform, while that window is open you can send free-form service replies. If the customer messages again before it expires, the timer resets. When the window is closed, business-initiated Platform messages must use pre-approved message templates (marketing, utility, or authentication). That is Meta’s model — see service messages and template guidelines.
On the Business App, you are not running that template engine. You chat like a business phone: greetings, away messages, catalogues, labels. That is why the App feels free and simple — and why it breaks when you want to remind 800 parents of a fee date from a shared desk.
Opt-in matters on the Platform. Template blasts to scraped directories are how numbers get restricted. If a BSP demo skips consent, walk away.
BSP onboarding (what “getting the API” actually means)
You do not install the API from the Play Store. Typical India path in 2026:
- Meta Business portfolio / Business Manager ready (GST, Udyam, or whatever Meta asks for your case).
- Choose a Business Solution Provider (BSP) Meta works with.
- Register or migrate the phone number through that BSP’s onboarding (Embedded Signup is common).
- Submit display name and first templates for Meta review.
- Connect webhooks / inbox / CRM if you need more than a BSP dashboard.
BSP “1–3 working days” claims depend on documents, number readiness, and Meta review — not on a slogan.
Coexistence: Meta lets many businesses connect an existing Business App number to Cloud API so the phone app and the Platform can share one number (history sync rules apply). Important nuance from Meta: the 24-hour customer service window restriction applies to messages sent via Cloud API; messages you send from the Business App itself are not subject to that window and do not open or extend Cloud API conversation windows. Read Meta and your BSP before you migrate a number you live on — some features (for example broadcast lists on the App after coexistence) change.
Green tick myths
- The Official Business Account badge is not included when you open a BSP account.
- Meta decides verification / notability. Agencies cannot sell you Meta’s stamp.
- A facilitation fee (if any) is help with paperwork — not a guarantee Meta will approve you.
- A clinic that replies in two minutes with a clear catalogue often earns more trust than a badge on a cold number.
- Do not buy “guaranteed green tick” pitches.
Pricing at a high level (no invented Meta rates)
Business App: no Meta conversation bill for using the app itself.
Platform: you pay (1) Meta’s charges for template / message categories as published for India on Meta’s pricing docs, and (2) your BSP’s platform fee or markup. Details change. Before you budget, open Meta’s pricing page and get a written BSP quote for India. Do not paste a 2025 blog’s ₹0.xx table into your P&L.
We will not invent a monthly “typical SMB” total. Volume, mix of marketing vs utility templates, and BSP plan dominate the bill.
When to stay on the Business App
Stay on the App if most of this is true:
- One person (or one primary phone) handles WhatsApp.
- Daily real enquiries are modest — you can reply in business hours without a queue tool.
- You are not running template reminder campaigns to hundreds of opted-in numbers.
- You are not wiring WhatsApp into a helpdesk with roles and SLAs.
- You have not outgrown broadcast-list limits.
Clinic. Doctor or front desk replies between patients. Catalogue for services; quick replies for address and fees. Log every real enquiry in a CRM the same day — the App will not do that for you.
Tuition. Batches live in groups; admissions still arrive as DMs. The App is fine while one coordinator owns the number. Parents who will not DM still need a public form — that is the website job, not the API.
Home services. GBP + WhatsApp App closes most jobs. API is optional until two helpers fight over one unread pile or you schedule reminder templates at scale.
When the Platform (API) starts to make sense
Consider a BSP + Platform when several of these show up:
- Two or more people must work the same WhatsApp number with assignment and history.
- You need appointment / fee / job reminders as Meta-approved utility templates after the 24-hour window closed.
- You plan Click-to-WhatsApp ads with a Platform inbox your BSP supports.
- Broadcast / marketing volume has clearly outgrown App lists and you have real opt-ins.
- You want chatbot triage with human handoff — and someone will maintain the flows.
