Short answer: If all your leads arrive on WhatsApp, you need a follow-up system, not necessarily a branded CRM. A simple list or spreadsheet is enough when one person owns the phone and under ~20–40 open deals. Zoho CRM fits when you want INR seats, GST-friendly billing, and a real pipeline. HubSpot fits when you already live in its free CRM and can justify Marketing or Service Hub Professional+ for native WhatsApp. Meta’s WhatsApp message fees sit on top of any CRM seat — always check current Meta pricing.
Key takeaway: Buy CRM for memory and ownership of the next step — not because a vendor demo looked impressive.

This is not our 26 August post on capturing WhatsApp/Instagram enquiries into a desk, and not the 28 August packing-list post. This page compares options for WhatsApp-first Indian SMBs.
What “CRM” means when the inbox is WhatsApp
In India, the sale often lives in chat: enquiry → brochure → negotiation → UPI reminder. Email CRM features matter less than answers to three questions:
- Who owns this lead right now?
- What is the next action and by when?
- Can a second person pick up if the phone owner is offline?
If you cannot answer those from one shared place, you do not have a CRM — you have a chat history.
Bold callout: WhatsApp is the channel. CRM is the memory of the deal. Mixing them up is how clinics and home-service crews lose hot leads on Friday night.
Option A — A simple list (notes app, Google Keep, shared doc)
Use when
- One owner handles almost every chat
- You mostly need: name, phone, source, status, next follow-up date
- Volume is low enough that you can scan the list in under five minutes
Skip when
- Two or more people reply from the same number without assignment
- You need stages, reports, or reminders that fire without someone opening a note
A five-column list beats an unused “enterprise” CRM. Status vocabulary that works for most Indian SMBs: New → Qualified → Quote sent → Won / Lost / Nurture.
Option B — Spreadsheet (Google Sheets / Excel)
Use when
- You want filters, shared edit, and a cheap audit trail
- Multiple people can update rows after each WhatsApp reply
- You are not ready for CRM seat fees
Typical columns
| Column | Why it exists |
|---|---|
| Name / business | Who you are talking to |
| WhatsApp number | Deduplicate (+91 format) |
| Source | Instagram, Google, referral, IndiaMART, walk-in |
| Status | Same vocabulary as the simple list |
| Owner | Person responsible for next reply |
| Next action + date | The only column that closes deals |
| Notes / last message gist | Context without scrolling 200 chats |
| Deal value (optional) | Only if you actually quote |
Breaks when
- Nobody updates the sheet after chat
- Duplicate rows from the same phone
- You need automatic WhatsApp logging (sheets do not ingest chats by themselves)
Key takeaway: A sheet is a CRM habit, not software. If the habit fails, upgrading tools will not save you.
Option C — Zoho CRM (India-friendly paid path)
Zoho is Chennai-born SaaS many Indian SMBs already use for Books, Mail, or Desk. For WhatsApp-first teams, Zoho is usually the first “real CRM” that still feels local (INR pricing, GST invoices, India support patterns).
Live Zoho CRM list prices (INR, billed monthly on Zoho’s pricing page as of research on 8 Sep 2026) — zoho.com/crm/pricing.html:
| Edition | List price (INR) | Rough fit |
|---|---|---|
| Free | ₹0 for up to 3 users | Tiny teams testing contact + reminders |
| Standard | ₹800 / user / month | Email + calling + multiple pipelines |
| Professional | ₹1,400 / user / month | Heavier automation / inventory / journeys |
| Enterprise | ₹2,400 / user / month | Mature orgs; native WhatsApp path often discussed at higher tiers |
| Bigin Express (Zoho’s lighter product on same page) | ₹2,400 / user / month | Spreadsheet graduates who want a simple pipeline |
Local taxes (including GST) may apply — Zoho states this on the same page. Re-check Zoho before you budget; editions and WhatsApp connectors change.
WhatsApp reality check for Zoho
- Native WhatsApp Business Platform messaging is commonly associated with higher Zoho CRM editions or Zoho One / marketplace extensions — not the free tier as a full shared WhatsApp inbox.
- Meta still bills message delivery separately (category × country). Zoho’s own calculator FAQs describe Meta’s per-delivered-template model and free-form replies inside the customer service window — verify on Zoho’s calculator and Meta’s docs.
- Lower tiers can still work as the lead system of record while humans paste summaries from the WhatsApp Business App.
Choose Zoho when you want INR seats, a durable pipeline, and room to grow into Books/Desk later — without jumping to USD hub pricing on day one.
Option D — HubSpot (free CRM first, paid WhatsApp later)
HubSpot’s free CRM is strong for contacts, deals, and tasks. The trap for WhatsApp-first India teams: native WhatsApp is not on Free/Starter.
Per HubSpot’s own WhatsApp product page (hubspot.com/products/whatsapp-integration) and Knowledge Base:
- You need Professional or Enterprise of Marketing Hub or Service Hub
- Plus a WhatsApp Business account and number
- Coexistence can keep the Business App and HubSpot inbox in sync on the same number (see HubSpot docs)
Practical India pattern
- Start on HubSpot free CRM as the list of record.
- Keep chatting in WhatsApp Business App; log outcomes on the contact.
- Only upgrade when shared inbox + templates + workflows justify Professional seat/hub cost.
Do not invent HubSpot rupee prices here. HubSpot prices in USD and changes often — open hubspot.com/pricing for your hub mix. Marketplace BSPs (Wati, Interakt, AiSensy, and others) can bridge WhatsApp to lower tiers; treat BSP + Meta + HubSpot as three cost lines.
Choose HubSpot when your marketing/service stack already lives there, or you need its content + CRM ecosystem more than INR-first billing.
Side-by-side: which option for which job?
| Job to be done | Simple list | Spreadsheet | Zoho CRM | HubSpot |
|---|---|---|---|---|
| Remember next follow-up | Yes | Yes | Yes | Yes |
| Share ownership across 2–5 people | Weak | OK if disciplined | Strong | Strong |
| INR pricing + GST invoice comfort | Free | Free | Strong (live INR page) | Check USD / local billing |
| Native WhatsApp shared inbox | No | No | Higher tier / extension / BSP | Marketing or Service Pro+ |
| Reports / forecasting | No | Basic | Strong | Strong |
| Setup time | Minutes | Hours | Days | Days–weeks |
| Typical India catch | Forgotten notes | Stale rows | Over-buying seats | WhatsApp locked behind Pro hubs |
Decision tree (use this, then stop researching)
- One phone, one owner, under ~20 open deals? → Simple list. Revisit in 90 days.
- Two people updating the same leads, still under ~50–80 open deals? → Spreadsheet with Owner + Next action columns.
- Need stages, reminders, India INR seats, maybe Books later? → Zoho Free → Standard; upgrade only when workflows break.
- Already on HubSpot free and growing inbound content/ads? → Stay on free CRM until WhatsApp shared inbox is mandatory — then price Marketing/Service Professional honestly.
- Need auto-logged WhatsApp + multi-agent inbox + templates? → That is WhatsApp Business Platform (API) territory via Meta + a BSP, wired into Zoho/HubSpot/your list. CRM seats alone do not replace the API. See our App vs API post for product choice; quote automation separately on Automation & AI.
Key takeaway: You do not need WhatsApp API to “have a CRM.” You need API when multiple agents, broadcasts, ads click-to-WhatsApp, or auto-logging require the Platform — not the free single-device Business App.
Meta fees vs CRM seats (do not mix the bills)
Three money lines Indian owners confuse:
- CRM seats — Zoho/HubSpot/your tool
- BSP / connector platform fees — if you use a WhatsApp Business Solution Provider
- Meta delivery charges — per delivered template by category and recipient country; service replies inside the customer window have historically been free of Meta charge, with published future changes — always check Meta’s live rate card
Do not freeze marketing/utility rupee figures from blogs into your SOP. Meta updates rate cards; India moved toward local-currency billing patterns in 2026. Prefer Meta’s developer pricing pages and your BSP invoice.
What TechyXen will (and will not) do
TechyXen helps Indian SMBs design the lead desk, wire websites/forms into a list or CRM, and quote automation when WhatsApp Platform work is in scope. We are an IT firm — Build. Launch. Thrive! — not a Meta reseller inventing API plan prices.
Useful next steps (full services, light contact):
- Automation & AI — WhatsApp Platform / workflow quotes when you outgrow manual logging
- Web development — enquiry forms that land in the same list as WhatsApp
- Digital marketing — traffic that should not dump into an unowned inbox
- IT consultant & project management — stack choice workshops
- Contact — scoped quote, 10:00–19:00 IST, +91 92705 93725
This article will not spine on packaged daily-rate offers. Those live on their own product pages if you need them later.
30-day experiment (before you buy seats)
- Pick one status vocabulary and ban synonyms.
- Every WhatsApp reply that creates work gets a row within 10 minutes.
- End of day: sort by Next action date; clear overdue.
- Weekly: count New vs Quote sent vs Won — if New piles up, the tool is not the problem; ownership is.
- Only then shortlist Zoho vs HubSpot vs staying on the sheet.
FAQ
Do I need a CRM if all my leads come on WhatsApp?
You need a shared memory of next steps. That can be a list, a sheet, Zoho, or HubSpot. WhatsApp alone is a messenger — not a pipeline.
Is a Google Sheet enough for an Indian clinic or home-service crew?
Yes, if one or two people update Owner + Next action after every meaningful chat. Move to Zoho/HubSpot when filters, reminders, or multi-stage reporting become daily pain.
Is HubSpot’s free CRM enough for WhatsApp sales?
For contacts and deals, often yes. For native WhatsApp inbox / templates inside HubSpot, HubSpot requires Marketing Hub or Service Hub Professional or Enterprise — confirm on HubSpot’s WhatsApp product page.
Is Zoho cheaper than HubSpot for Indian SMBs?
Zoho publishes INR per-user list prices on its CRM pricing page (Free / Standard ₹800 / Professional ₹1,400 / Enterprise ₹2,400 as of 8 Sep 2026 research). HubSpot is typically USD hub pricing — compare your seat count + WhatsApp needs on both live pages; do not trust a blog’s converted rupees.
Do I need WhatsApp Business API to use Zoho or HubSpot?
No. Many teams log manually from the WhatsApp Business App into the CRM. API (Platform) is for multi-agent inbox, approved templates at scale, ads workflows, and automation — quoted separately from basic CRM setup.
Will TechyXen pick and pay for Zoho or HubSpot for me?
We help you choose and implement the desk; vendor subscriptions and Meta/BSP fees are usually on your accounts. Start at contact.
